Responsibilities- Leadership: You will serve as the leader of the back-office team, providing direction and motivation to team members. Additionally, you will collaborate with executives to make strategic decisions that contribute to the achievement of the company's goals.
- Talent Management: Maximizing team efficiency and fostering cooperation among team members will be a key aspect of your role. This includes task allocation, progress tracking, and performance evaluations.
- Process Improvement: You will evaluate internal processes within the organization and propose and implement improvements for increased efficiency and quality. This may involve establishing efficient workflows and optimizing resource allocation.
- Budget Management: You will be responsible for budget planning and monitoring, ensuring the proper operation of budgetary processes in collaboration with managers.
- Communication: Facilitate smooth communication both within and outside the organization, effectively conveying information. Build cooperation and partnerships with stakeholders.
- Risk Management: Evaluate and anticipate potential risks, and develop plans to address them. Implement measures to minimize risks.
- Compliance with Regulations: Ensure legal compliance for the organization by adhering to relevant laws and regulations.
- Auditing and Improvement: Conduct audits of processes and operations, identify issues and areas for improvement, and execute improvement initiatives.
- Cultural Promotion: Foster a healthy culture within the back office, cultivating values of cooperation and respect. Acknowledge efforts to support each other and maintain a professional workplace environment.
- Policy and Guideline Development: Develop clear policies and guidelines regarding harassment and ensure that all employees are aware of them.
- Education and Training: Provide education and training to back-office members to promote awareness of and prevent harassment. Ongoing training is also offered to new employees.
- Counseling and Support: Consider offering psychological support and counseling. Create an environment where victims can comfortably seek assistance.
- Transparency and Communication: Encourage back-office members to report issues or concerns to the appropriate superiors or managers, promoting open and transparent communication.
- Office Management: Oversee the day-to-day management of the office, maintaining a clean and organized environment. Effectively plan and execute tasks such as cleaning, facility maintenance, and procurement of necessary supplies.
- Event Management: Support the planning and execution of company events and meetings to ensure smooth proceedings.
- Security Measures: Collaborate with the IT manager to review office security measures and ensure safety. Focus on data protection and risk prevention.
- Employee Support: Provide assistance and support based on employees' needs. This may include new employee orientation and the implementation of health programs.
