The Team:

  • An international team (British, French, German, Italian, Portuguese) with complementary education and experience in the investment, medical, scientific, strategic and operational sectors
  • Composed of alumni from: INSEAD, Berkeley, Georgetown, Bocconi, HEC Paris, Ponts et Chaussées, ESSEC, Imperial College, Dartmouth, etc.
  • Professional backgrounds: Private Equity (3i, Siparex, USS Ltd, Barings, capiton), Consulting (A.T. Kearney, Bain, McKinsey), Mamp;A (Lazard, EY, KPMG, PwC), Industry (Biotronik, Cerba, Pharmacy, Veterinary

Your Role:

Ensures the smooth running of the Tokyo office by managing all administrative and logistical tasks within the office. In addition, acts as a linchpin between the ARCHIMED HQ, Tokyo, US amp; Singapore teams by helping to coordinate global activities within Tokyo.

Accountabilities:

Helps to build team cohesion by partnering with Tokyo team to plan and manage all team social events, ensuring sufficient, inclusive events throughout the year

Acts as a liaison between French back office teams, US, Singapore amp; Tokyo teams.

Ensures all Tokyo employees have up to date business cards, bios and headshots

Leads on managing all non-Investor Relations Tokyo events, to include venue and supplier sourcing, budget management, managing all logistical elements, communications with attendees, etc., partnering with relevant head office teams as necessary

Personal Assistant:

Books travel and accommodation for all Partners based in the Tokyo office

Provides diary management for all Partners based in Tokyo office

Finance:

Partners with Finance team to ensure timely payment of all Tokyo invoices

Partners with Finance to support timely and accurate invoicing of any Tokyo entities as needed

Manages Tokyo Office budget, to include costs for office supplies, refreshments and team events

Liaises with Tokyo accountants to ensure all necessary documentation is received and accounts are being prepared in line with timelines

Manages Tokyo corporate credit card

IT:

Liaises with IT to manage laptop setup for all new Tokyo joiners

Liaises with IT team and outsourced partners to ensure all IT runs smoothly in office, including, but not limited to, conference room AV equipment, printer, etc.

HR:

Ensures smooth onboarding and induction for new joiners, to include meet and greet on Day 1

Supports global HR team with various HR related items in Tokyo as needed, including, but not limited to ensuring vacation time is logged, communicating public holidays, etc.

Requirements

  • Fluent speaker : Japanese amp; Korean
  • Excellent attention to detail
  • Excellent organizational skills, able to help create order and manage processes in a process-light environment
  • Strong communication skills, both written and verbal
  • Proactive, able to take initiative and proactively seek information needed to complete tasks
  • Trustworthy, able to be trusted with confidential information
  • Strong multi-tasking and prioritization skills
